Can I inspect the venue before making a booking?
Yes you can. All you need to do is come in to Council and speak to the Customer Service section.They will provide you with a key and code to go and inspect the facility you want. You will have to leave a $20 key deposit which is refundable on your return.
Can I provide my own catering?
Yes. You can satisfy your own taste, style and budget as well as arrange a caterer or cater for the function yourself. Tables and chairs are provided. All Council’s function halls have commercial kitchen equipment available to use, but there is no crockery or cutlery supplied. Barbeques and spits are only permitted at Wentworthville Community Centre (outside kitchen door) and Jones Park Hall (under the verandah between the hall and toilets).
Can I decorate the room?
Yes. Please do not use drawing pins or tape. You must make sure that all decorations are completely removed at the end of your function.
Can we have alcohol at our function?
Yes. Alcohol may be served at all private functions, but you must obtain written permission from Merrylands Police Station prior to the booking being made at Council.
Do I have to pay a bond for a Private Function?
Yes. A $300 bond is required for all Private Functions. The bond will be refunded 3-4 weeks after your booking is completed providing there is no damage to the venue and no additional cleaning required.
What is the latest time available for evening functions?
All venues must be vacated by 12.00 midnight.

What is the difference between a “regular hirer” and a “casual hirer”?
A Casual Hirer has 10 or less bookings in a calendar year including Private Functions and a Regular Hirer has 11 or more bookings in a calendar year.
How do I book or find out more?
If you are a Casual Hirer (10 or less bookings in a calendar year including Private Functions) then you should come in to Council and book up front at the Customer Service desk. If you are a Regular Hirer (11 or more bookings in a calendar year) then you should contact Council’s Community Facilities Officer on 9840-9906 and you will be advised on what steps you need to take.
Is time allowed to set-up the venue and clean up afterwards?
All bookings are allowed 15 minutes before the booking time to set up and 15 minutes after the booking time to pack up. E.g. if your booking is from 7.00pm-9.00pm you are allowed to be in that facility at 6.45pm and leave at 9.15pm.
How many people can I have at my function?
This depends on which function hall you have hired. All halls hold 100 people except the Grevillea Room which holds 120.
When do I have to pay?
For a Casual booking you will have to pay on the spot. A Regular Hirer will be invoiced every 6 months.
When and where can I collect the key for the venue?
You can collect the key for the venue from Council. If you are a Casual Hirer you will collect the key and code from Customer Service. If you are a Regular Hirer you will collect the key and code from Council’s Community Facilities Officer. For a Private Function you will pay an open and close fee which will pay for security to open and close the facility for you.
Are there any charges if I cancel my booking?
A cancellation fee of $103 is charged for a Private Function and 4 weeks written notice is required. For all other bookings $51.50 is charged and 2 weeks written notice is required. Please note that Council does not transfer booking dates. Hirers must cancel a booking and make a new booking if a transfer is required.
Are there any public liability insurance requirements?
If you are a Regular Hirer you will need to provide Council with proof of Public Liability cover for $10 million dollars.
Is there a minimum amount of time per booking?
Council has a minimum of a two hour block for all bookings of Community Facilities.
Do I need to obtain a Certificate for Self Employed People in Child Related Employment?
Hirers of Holroyd Council’s community facilities will be required to provide a Certificate for Self Employed People in Child Related Employment (where applicable) as of 1 May 2010. This Certificate is part of the working with children check; it allows self employed people to prove that they are not banned from child related employment.Self employed people include profit making and non-profit making hirers of Council’s facilities who meet the NSW Commission for Children and Young People’s criteria for child related employment.
